Meetup Attendance
Mark who attended a meetup occasion, submit the list, and unblock people who missed.
What This Is For
After a meetup occasion has run, Follow Up is where an administrator records who showed up and submits the final Attendance list.
That submission locks the list and updates participation so attendance (and certificates, when configured) can complete for people marked as attended.
People marked as not attended are blocked from joining another occasion on the same meetup until an administrator Unblocks them. The Blocked coworkers list on occasion follow-up shows who is blocked and which occasion they missed.
This is not meetup signup. Learners choose an occasion in Learn. Authors create the meetup and occasions in Create.

Who This Is For
Administrators only. Updating attendance checkboxes, Submit attendance list, and Unblock require an administrator account. Collaborators and managers do not finalize meetup attendance here (meetup cards on the Follow Up start page are for administrators).
Before You Start
- The meetup has at least one occasion, and people have signed up (or been assigned) so they appear on the list.
- Prefer waiting until the occasion has ended. You can start marking checkboxes after the occasion starts, but you cannot submit until it has ended.
- After you submit, you cannot change the list.
- Soft reservations (for example after Academy checkout while program order or prerequisites still lock the meetup, someone added in Create without access yet, or someone who lost access after a visibility or prerequisite change) appear with a Reserved chip. That is a hold, not a confirmed signup—see Reserved and Attending. Prefer confirming who is signed up before the occasion runs.
- People with access may already have received one week and one day reminder emails before registration closed (Reserved) or before the occasion started (Attending). Use the attendance list to record who showed up.
Confirm Attendance After an Occasion
- Open Follow Up.
- Under What would you like to review?, open a meetup card (filter Meetups if needed).
- On Meetup follow-up, open Occasions and select the occasion you ran.
- On Occasion follow-up, open the Attendance list.
- For each person, use the attendance checkbox to mark whether they attended (available after the occasion has started). Unchecked means they did not attend. If a learner left a Message to organizer when signing up (diet, accessibility, or other notes), it appears under their name on this list. People with a Reserved chip still hold a soft seat rather than confirmed attendance.
- When the occasion has ended and the list looks right, click Submit attendance list.
- Confirm in the dialog: Are you sure you want to submit the attendance list? — After submitting, you will not be able to change the attendance list. Choose Submit.
If nobody was on the list, the button may read Submit 'Nobody attended' instead.
While the occasion is still running, submit stays disabled with: You cannot submit the attendance list before the Meetup has ended. After a successful submit, the button shows Attendance list submitted.
Unblock Someone Who Missed
After you submit, anyone left unchecked is blocked from signing up for another occasion on this meetup. Use the separate Blocked coworkers list on Occasion follow-up (below the attendance list):
- Open the same meetup occasion in Follow Up (or any occasion on that meetup).
- Under Blocked coworkers, find the person. The row shows Missed occasion: with the date (and description when set).
- Click Unblock.
They can then sign up again in Learn.
You can also unblock from Create: open the meetup → an occasion → Manage attendees. Under Blocked from this meetup, review Missed: and click Unblock.
Result
- Submitted attendance updates each learner’s meetup participation.
- People marked as attended can reach a completed / approved outcome in Learn.
- If certificate issuance is enabled on the meetup in Create, certificates become available in Certificates for those who attended.
- People marked absent stay blocked until you Unblock them.
