Sync Users From an SFTP CSV

Pull a remote delimited user file over SFTP so Skillhabit creates and updates people on a daily schedule.

What This Is For

SFTP CSV Ingestion connects Skillhabit to a remote delimited user file (CSV or similar) on an SFTP server. Skillhabit pulls that file, creates and updates users from the rows, and archives people owned by this integration when they disappear from the file (it never deletes them).

Use it when HR or another system already drops a full user export on SFTP and you do not want a custom SCIM or External API job.

It is not the same as a one-off CSV upload in Users & Groups. This path runs on a daily schedule (and on demand) from a remote file.

Who This Is For

Workspace administrators, usually working with whoever owns the SFTP server and the export file format.

Before You Start

  • Ask your Skillhabit contact to enable SFTP CSV Ingestion for the workspace. Until that is on, Configure → Connections shows that the feature is not enabled.
  • Have SFTP host, port, username, and password (or private key, if your Skillhabit setup supports it).
  • Prefer the server’s SSH host key fingerprint (usually starts with SHA256:) so Skillhabit verifies it is talking to your server.
  • Prepare a file with a header row and stable columns for external id, email, first name, and last name.
  • Keep the export within the size limit below. Larger directories need another provisioning path.
  • Agree that this integration owns the users it creates or updates, so archive rules do not fight Microsoft Entra ID, SCIM, or the External API.

File Size Limit

Skillhabit pulls the whole remote file on each sync. This integration supports up to about 10,000 rows or 10 MB, whichever you hit first.

If your export is larger, use Microsoft Entra ID sync, SCIM 2.0, or the External API instead—do not rely on SFTP CSV for that volume.

Steps

  1. Open Configure → Connections → User provisioning.
  2. Add or open SFTP CSV Ingestion.
  3. Under Connection Details → Server details, enter the SFTP file location (host and path/filename), port, username, and password. Optionally set the SSH host key fingerprint.
  4. Under CSV format, choose the delimiter and encoding that match the export (common defaults are semicolon and ISO-8859-1).
  5. Under Column mapping, map the file headers for external id, email, first name, and last name.
  6. Save, then use Test connection to confirm Skillhabit can reach the file.
  7. Turn Integration enabled on. Skillhabit runs a sync immediately, then pulls the full file once per day. Use Sync now anytime for an on-demand run.

Map Extra Columns Onto Attributes

Core identity columns are mapped on the SFTP CSV page. For other CSV headers (department, company, and so on):

  1. Create the Skillhabit attributes under Configure → Attributes if needed (Custom Attribute Fields).
  2. Open Configure → Connections → Attribute mappings.
  3. Add a mapping with Source = CSV column and the header name as the external property.
  4. Save.

What You Should See Afterward

  • Users from the file appear in Users & Groups; many are owned by this file-sync integration.
  • Last sync run on the connection page shows created, updated, archived, and error counts.
  • Passwords you save are write-only—Skillhabit does not show them again in the UI.

Keep Sync Healthy

  • If Test connection fails, recheck host, credentials, fingerprint, and that the remote filename still exists.
  • Scheduled sync is a full file pull (not a small directory-style delta). Keep the export complete, consistent, and within the recommended size.
  • Users owned by this integration who vanish from the file are archived—never deleted.
