Hold a Meetup Seat Before You’re Ready

Soft seats, visibility like other content, sharper reminders, and Academy checkout that books the date while you pay—meetups finally behave like the rest of Skillhabit.

It’s a meetup bonanza. Meetups used to ask you to wait until everything lined up: visibility, an open occasion, and Learn unlocked. Soft seats, a library row that stays put, opt-in alerts for new dates, and a few sharper Academy controls fix that.

Meetups

  • Visibility like other content — Meetups use the same Visibility and targets setup as courses and programs in Create, including mandatory when you need compliance tracking. Granting visibility to someone who already holds a Reserved seat turns it into Attending when nothing else is locking them out. Narrowing visibility—or adding prerequisites that block them—moves Attending back to Reserved.
  • Reserved is a soft attend — Reserved is a hold until signup is confirmed as Attending. In Create, coworkers who already see the meetup—or a program that includes it—and have no other blockers land as Attending. Everyone else can be added to the attendance list as Reserved, even without visibility yet. Learners (and Academy buyers) stay Reserved while program order or prerequisites lock Learn. Completing that prep, or getting visibility, upgrades the seat to Attending automatically. Cancel with Cancel reservation (not Unattend). Soft seats show a Reserved chip in Create and Follow Up. They auto-release at the last registration date (or when the occasion starts, if none is set). Details: Reserved and Attending.
  • Message to organizer — Turn on Message to Organizer on each occasion in Create (optional Message Question for Participants). When learners confirm that date in Learn—or pick it at Academy checkout—they can leave a short note (diet, accessibility, or other). After they are signed up, View Occasion shows the message they sent. Facilitators see it under the name on the Attendance list in Follow Up.
  • Auto-cancel underfilled occasions — On an occasion in Create, set Require minimum participants with a Last registration date. If too few people have signed up by that last signup deadline, Skillhabit cancels the occasion automatically and releases the seats.
  • Reminders before start and before a reservation decays — About one week and one day before a reserved seat’s registration deadline, Skillhabit emails coworkers who can see the meetup (directly or via a program). Confirmed attendees get the same cadence before the occasion starts. Reminder and invite emails include the occasion location (or online link) and description.
  • Still in Your library — A meetup you can see stays in Your library even when there is no open occasion yet—open it, browse past dates, and subscribe when you want the next one.
  • Notify me of new occasions — When nothing in Upcoming fits, open Attend / Select an Occasion and choose Notify me of new occasions. Skillhabit emails you when a date is added to that meetup. Attending or taking a reserved seat turns the subscription off.
  • Missed? Blocked until Unblock — After Submit attendance list, people marked absent cannot join another occasion on that meetup until an administrator clicks Unblock on Blocked coworkers in Follow Up (or Blocked from this meetup under Manage attendees in Create).
  • Clearer lists in Create and Follow Up — Meetup and occasion lists page more smoothly when you have many dates or attendees, so managing seats and attendance stays usable at scale.

Academy, too

  • Reserve a meetup occasion in checkout — When the cart includes a purchased meetup (or a program with meetups) and bookable dates exist, checkout lets you pick an occasion and leave a Message to organizer when that date asks for one. The page shows how long the seat stays held (Meetup seat reserved for … more). Cancel order releases it. Purchase in progress takes you back to an order you already started. If the hold runs out, you can still pay, or cancel and start again. After payment you become Attending when Learn is ready; otherwise you stay Reserved until unlock, then Skillhabit upgrades automatically. The date step stays hidden when there is nothing bookable.
  • Change Academy currency yourself — Under Manage Academy → Payment, pick the Academy currency from the allowed list. Paid products are unpublished so you can re-price them (amounts are never converted automatically). Past orders keep their original currency.
  • Restrict private or company purchases — On the same Payment page, choose Accepted buyer types: private only, business only, or both. Business-only stores show company fields; private-only hides the business path.
  • Confirm VAT before the order — On Stripe integration checkout, buying as a business checks the VAT identification number with Stripe before the order is accepted. Invalid numbers stay on Billing information with a clear field message. Empty numbers stay optional; Manual flow does not run this check.
